This Privacy Policy explains how Solvmetric Works L.L.C., operator of FleetMath ("Solvmetric", "FleetMath", "we", "us", or "our"), collects, uses, shares, and protects information when you use fleetmath.cloud, the web platform, APIs, integrations, optimization tools, route planning features, and any driver or operational tracking features when separately enabled.

1. Information we collect

We may collect:

- Account data: name, email, language, authentication, company, role, preferences, legal acceptance timestamps, and legal acceptance versions. - Company data: organization name, plan, subscription status, operational settings, timezone, country, users, invitations, and membership records. - Billing and subscription data: plan, subscription status, Stripe customer ID, Stripe subscription ID, Stripe price ID, payment status, billing portal metadata, invoice metadata, limited transaction metadata, limited tax-related metadata, cancellation status, and subscription period information. FleetMath does not store full card numbers. - Logistics data: depots, vehicles, capacities, customers, stops, addresses, time windows, service times, route drafts, route results, optimization results, exports, and operational history. - Driver data: driver name or label if entered by the company, assigned vehicle, assigned route, session status, route session metadata, and consent or operational status where applicable. - Location data where tracking is separately enabled: GPS locations sent during active routes, along with accuracy, speed, heading, capture time, receive time, and related diagnostic metadata when available. - Technical data: IP address, browser, device, operating system, logs, errors, cookies, local storage, session identifiers, security data, rate limit data, and audit events. - Analytics data: pages visited, device and browser information, approximate location, interactions, traffic source, and aggregated metrics when Google Analytics or similar tools are enabled. - Communications: support messages, transactional emails, billing communications, invitations, requests, and responses.

2. How we use information

We use information to:

- Provide, maintain, and improve FleetMath. - Create, optimize, store, and display routes, route drafts, results, and operational history. - Generate navigation links and operational route outputs. - Provide driver, mobile, or tracking features where separately enabled. - Manage accounts, companies, invitations, roles, legal acceptance, subscriptions, billing state, and plan access. - Process payments, confirm PRO access, handle billing portal flows, support fraud prevention, and maintain tax, accounting, legal, and compliance records. - Diagnose sync failures, performance issues, security issues, provider issues, and errors. - Protect accounts, prevent abuse, enforce limits, and maintain security. - Send transactional, account, billing, legal, and operational communications. - Comply with legal obligations and enforce our terms. - Analyze product usage and improve user experience.

3. Data roles and customer organization responsibilities

For company-uploaded operational data, the customer organization determines what data is entered into FleetMath and is responsible for notices, consents, legal bases, accuracy, and handling requests from its own customers, employees, drivers, contractors, or other individuals.

Solvmetric processes that data to provide FleetMath and related support, security, diagnostics, and operational functions.

For account administration, security, billing, analytics, legal compliance, fraud prevention, provider management, and platform operations, Solvmetric may act independently and process data for its own legitimate business and legal purposes.

4. Driver location where available

Where driver, mobile, or location tracking features are separately enabled, FleetMath may collect device location during active routes, subject to operating system permissions and device settings. Location is used for operational tracking, recent history, progress estimation, diagnostics, security, and route completion.

The customer organization is responsible for informing drivers, employees, contractors, and operational personnel, and for obtaining required consents and permissions. Drivers may control permissions through the operating system, but disabling permissions may prevent route, tracking, or diagnostic features from functioning.

If a driver contacts us directly about their data, we may respond, request verification, and/or coordinate the request with the relevant customer organization.

5. Stripe and payment providers

Payments and subscriptions are processed by Stripe. Stripe may collect and process payment, billing, tax, fraud-prevention, dispute, compliance, and transaction-support data. Where Stripe Managed Payments is enabled and supported, Stripe may act as merchant of record.

Stripe processing is subject to Stripe's own terms and privacy policy. FleetMath receives and stores limited Stripe identifiers, subscription status, payment status, billing portal metadata, invoice metadata, transaction metadata, and tax-related metadata needed to provide billing, subscription access, support, accounting, fraud prevention, legal compliance, and audit functions.

FleetMath does not store full card numbers.

6. Google Analytics and similar technologies

FleetMath may use Google Analytics 4 to understand general site and product usage. Google Analytics may collect information such as pages visited, device type, browser, approximate location, interactions, and traffic source.

We do not intentionally send Google Analytics full names, email addresses, precise GPS coordinates, route tokens, credentials, session IDs, or other directly identifying operational data as event parameters.

You may use browser controls, blockers, or Google tools to limit analytics where available.

7. Cookies and local storage

We use cookies, local storage, and similar technologies for authentication, security, preferences, session, language, analytics, product functionality, fraud prevention, and billing-related redirects.

Some technologies are necessary to operate FleetMath. Others help us improve the product and measure usage.

8. Providers and third parties

We may share information with providers that help operate FleetMath, such as hosting, database, authentication, email, maps, geocoding, analytics, monitoring, storage, payment processing, tax/payment handling, fraud prevention, and technical processing providers.

These providers process data to provide services to FleetMath. Providers may operate in the United States and other countries. We may also share information if required by law, to protect rights, investigate abuse, prevent fraud, respond to valid legal process, enforce our terms, or support payment disputes and compliance obligations.

We do not sell personal data.

9. Retention

We retain account and company data while the account or company workspace is active and as needed for service, security, legal, support, audit, compliance, and legitimate business purposes.

Operational route, customer, vehicle, depot, draft, result, and history data may be retained for service delivery, customer access, audit, diagnostics, troubleshooting, abuse prevention, and operational continuity.

Location pings and tracking diagnostics may be retained for limited operational and diagnostic periods and may be deleted, aggregated, or anonymized according to internal policies, technical limits, customer requests, or legal requirements.

Billing and subscription records may be retained for accounting, fraud prevention, tax, legal, dispute, compliance, audit, and payment-provider obligations.

10. Security

We apply reasonable safeguards to protect information, including access controls, hashing of sensitive tokens where appropriate, secure connections, audit events, and operational security practices. However, no system is completely secure.

11. Your choices and rights

Depending on your jurisdiction, you may have rights to access, correct, export, delete, or object to processing of certain data. Requests should be sent from the email associated with the account or by an authorized company administrator.

Customer organizations are responsible for managing requests from their own customers, employees, drivers, or contractors when they determine the data entered into FleetMath.

12. International transfers

FleetMath, Solvmetric, and our providers may process and store information in the United States and other countries where providers or infrastructure operate. By using FleetMath, you understand that your data may be transferred to and processed outside your country.

13. Children

FleetMath is not directed to children. We do not knowingly collect information from children.

14. Changes to this policy

We may update this Privacy Policy. We will post the updated version on the Platform and, where appropriate, notify active users.
